Content Hub Settings - SMS Contacts

The SMS Contacts section (Settings → SMS Contacts) manages the recipient list for SMS-based Alerts. It has two sub-pages: All SMS Contacts — where you add and maintain individual phone numbers — and Groups — where you organize contacts into named sets that Alerts can target at once. Groups can be populated manually or built automatically using rules based on contact fields.

Prerequisites

  • Account Type: System Administrator.
  • Phone numbers in international format (e.g., +31612345678). The Mobile phone field is the only required value for a contact.
  • For bulk imports: a CSV file prepared from the downloadable example template.

Procedure

Managing SMS Contacts

Step 1 — Open All SMS Contacts

In the Settings left navigation, expand SMS Contacts and select All SMS Contacts.

The SMS Contacts list opens. Columns: Mobile phone and Description. The list is sorted by Date (most recently added first) by default.

Step 2 — Add a contact manually

  1. Select Add new in the top-right.
  2. The Add New SMS Contact form opens. Fill in the fields:
Field Required Description
Mobile phone Yes Phone number in international format, e.g. +31612345678.
Description No Free-text label — typically the contact's name or role.
Groups No Assign the contact to one or more Groups.
Spaces for Individual Targeting No Restrict which Spaces this contact receives Alerts from. Leave empty to receive from all Spaces.
Status Toggle: Enabled (default) / Disabled. Disabled contacts do not receive SMS messages.
  1. Select Add New SMS Contact to save.

Step 3 — Import contacts in bulk

Use Import when onboarding a large contact list.

  1. Select Import in the top-right of the SMS Contacts list.
  2. The Import SMS Contacts dialog opens.
  3. Select Download example CSV to download the template. Open it and fill in your contacts — Mobile phone is the only required column; all other columns are optional.
  4. When the file is ready, drag it into the Drag & Drop files zone, or select Select file to browse.
  5. Select Import. Content Hub processes the file asynchronously and sends a status report to your email address when processing is complete.

Heads up: The import is processed in the background. The contact list does not update immediately — wait for the email confirmation before assuming the import has failed.

Important: The maximum file size for import is 2 GB.

Step 4 — Edit a contact

Select a contact's phone number in the list (or hover the row and select the Edit icon) to open the Edit SMS Contact view.

All fields from Step 2 are editable. The edit view also shows an Automatic groups block (read-only) listing any Groups that include this contact via a rule — you cannot remove a contact from an automatic Group here; change the Group's rules instead (see Step 8).

Select Save changes when done.

Step 5 — Disable or delete a contact

  • Disable: open the contact's edit view and toggle Status to Disabled. The contact is retained but will not receive SMS messages until re-enabled.
  • Delete: hover the row and select the Delete icon. Deletion is permanent and cannot be undone.

Managing Groups

Step 6 — Open Groups

In the Settings left navigation, under SMS Contacts, select Groups.

The Groups list shows Name, Description, and Status (Active / Inactive). The list is sorted by Name by default.

Step 7 — Create a Group and add members manually

  1. Select Add new.
  2. Fill in the Group fields:

Name Yes Display name for the Group.
Description No Optional note on the Group's purpose or scope.
Spaces No Restrict which Spaces' Alerts this Group receives. Leave empty for all Spaces.
Status Toggle: Active (default) / Inactive. Inactive Groups are not available as Alert targets.
  1. Under Select SMS Contacts, choose the from list tab.
  2. Select the checkboxes next to the contacts to add to this Group.
  3. Select Add New Group to save.

Step 8 — Create a Group with rule-based membership

Rule-based Groups update their membership automatically whenever a contact's Description or Mobile phone value matches the configured rule. Contacts matched this way appear as Automatic groups on the contact's edit view.

  1. From the Add New Group form, complete the Name and other header fields.
  2. Under Select SMS Contacts, choose the by rules tab.
  3. Configure a rule:
    • Select type — choose Description or Mobile Number.
    • Select operator — choose one of: Equals, Does not equal, Starts with, Does not start with, Ends with, Does not end with, Contains, Does not contain.
    • Enter the match value in the field that appears.
    • Optionally enable Case sensitive to make the match case-sensitive.
  4. To add a second condition (AND logic), select Add rule.
  5. To add an independent alternative condition (OR logic), select Add grouped rule.
  6. Select Preview results to verify which contacts the current rule set would match before saving.
  7. Select Add New Group to save.

Heads up: Content Hub applies rules dynamically — membership updates when a contact's data changes. If you edit a contact's Description or Mobile phone and it no longer satisfies a rule, that contact is removed from the Group automatically.

Step 9 — Edit a Group

Select a Group's name in the list (or hover the row and select the Edit icon) to open the Edit Group view. All fields are editable. Select Save changes when done.

To switch a Group from manual to rule-based membership (or vice versa), change the active tab under Select SMS Contacts. Switching tabs discards the previous membership configuration.

Step 10 — Deactivate or delete a Group

  • Deactivate: open the Group's edit view and toggle Status to Inactive. Contacts are retained; the Group is not available as an Alert target.
  • Delete: hover the row and select the Delete icon. Deletion is permanent. Review and update any Alert configurations that targeted this Group before deleting.

Verification

  • Contacts: after adding or importing, confirm the expected phone numbers appear in the All SMS Contacts list with the correct Description and Status.
  • Groups: open the Group's edit view and select Preview results (rule-based) or review the contact picker (manual) to confirm the expected contacts are included.
  • Import: wait for the email status report before verifying the contact list.
